AI Acceptable Usage Policy

Canopy offers AI-powered tools and features in connection with our product and service offerings and beta testing features and programs (“AI Tools”). This AI Acceptable Usage Policy (this “AI Usage Policy”) is intended to promote the responsible use of our AI Tools, and applies to Subscribers, Authorized Users, Client Users, and anyone else accessing, using, or installing our AI Tools. By accessing, using, or installing any AI Tools, you agree to comply with this AI Usage Policy. Violations may result in suspension or termination of your access to our AI Tools, the Services, and/or beta testing features and programs. Capitalized terms used in this AI Usage Policy have the meanings given to them in our Terms of Service unless otherwise noted.

Canopy’s AI Tools are intended to help you work smarter by supporting and assisting with day-to-day administrative tasks. They are assistive tools only and are not a substitute for professional judgment. Our AI Tools use artificial intelligence technologies and, as a result, are not error-proof. They may provide information that is misleading, biased, inaccurate, or incomplete or make recommendations or carry out tasks that are not correct or appropriate for the context or are not performed in accordance with expectations. In particular, AI Tools may generate responses that appear confident and authoritative but are factually wrong, incomplete, or based on misinterpretations of the underlying data (commonly known as “hallucinations”). It is your responsibility to review and independently verify all outputs, recommendations, and proposed tasks generated by our AI Tools and to exercise your judgment in using or acting upon any such outputs, using any outputs as the basis for professional work product, sharing such outputs with your clients, or authorizing any automated tasks. This is especially critical given the nature of the information AI Tools may access through the Services.

Additionally, our AI Tools are not designed to provide tax, accounting, bookkeeping, legal, or other professional advice, and no outputs generated by our AI Tools are a substitute for obtaining the advice of such professionals. Canopy accepts no responsibility for any errors, omissions, or inaccuracies in outputs generated by the AI Tools, and all responsibility for verifying responses rests solely with you.

Prohibited Uses

In addition to any other provisions contained in our Terms of Service, you shall not use our AI Tools to:

  • ask for tax, accounting, bookkeeping, legal, or other professional advice
  • engage in, incite, or facilitate illegal activity
  • infringe, misappropriate, or violate the intellectual property rights of a third party
  • violate the privacy or other rights of a third party
  • violate any applicable laws or regulations, including without limitation export laws
  • attempt to circumvent or manipulate the safeguards, content controls, or usage restrictions of the AI Tools, including without limitation through adversarial prompting or other techniques designed to cause the AI Tools to generate outputs that are prohibited by the Terms of Service or this AI Usage Policy
  • interfere with or negatively impact the AI Tools, the Services, or any other Canopy products or services
  • make automated high-stakes decisions without appropriate human oversight or required disclosures
  • attack, compromise, or gain unauthorized access to computer systems, networks, or infrastructure, including without limitation creating malware or exploiting vulnerabilities
  • deceive, defraud, or manipulate others or create or spread misinformation 
  • conduct unauthorized surveillance or tracking of individuals or create tools designed to intercept communications or monitor devices
  • promote or facilitate the generation or distribution of spam
  • impersonate another individual or organization
  • produce or distribute any content that incites violence, hatred, or discrimination against any individual or group
  • harm minors or other vulnerable individuals, including without limitation through grooming, exploitation, or psychologically manipulative content
  • generate, distribute, or facilitate child pornography in any form
  • engage in politics, propaganda, or proselytizing
  • train or improve any AI model.



Without limiting the foregoing, you further agree not to submit any inputs into the AI Tools that:

  • include social security numbers, other government identifiers, or bank account, credit card, and debit card details
  • infringe on intellectual property, privacy, or other rights of a third party  
  • include information (including photographs) portraying or relating to minors or involving nudity, offensive language, violence, or illegal activity
Enforcement

Canopy may investigate suspected violations and take action as it deems necessary or appropriate in its sole discretion, including without limitation issuing warnings, restricting or suspending access to our AI Tools, the Services, or beta testing features or programs, or terminating access to our AI Tools, the Services, or beta testing features or programs.

Reporting

If you believe any outputs, recommendations, or proposed tasks generated by our AI Tools are potentially inaccurate, harmful, or otherwise concerning, you are encouraged to promptly notify us at coworker-beta-support@canopytax.com or report it directly using the feedback features (where available) in the Services. 

Changes to Our AI Usage Policy

We may update this AI Usage Policy at any time. We will provide reasonable notice of material changes. Your continued access to or use of the AI Tools after any update will constitute your acceptance of such update.
